Catelog management

Overview

The catalog management feature connects Perfex CRM items with your WhatsApp Business catalog so your team can:

  • prepare products for catalog sync
  • add Perfex items to WhatsApp catalog
  • import catalog products from WhatsApp into Perfex
  • run manual sync in either direction
  • enable automatic catalog synchronization by cron
  • review sync logs
  • view incoming WhatsApp catalog orders

Where to find it?

Go to:

WhatsBot > Commerce

The main page opens the Catelog Management screen with:

  • top action buttons for export, import, and sync
  • Products tab
  • Orders tab
  • Synchronization Log tab

Main areas of catalog management

Products tab

This tab shows your Perfex items and their WhatsApp catalog readiness.

Summary cards usually show:

  • Total Products
  • Synced Products
  • Ready to Sync

The products table shows:

  • name
  • description
  • price
  • status
  • action

Orders tab

This tab shows orders received from WhatsApp catalog interactions.

The table includes:

  • order ID
  • customer name
  • catalog ID
  • user message
  • receiver ID
  • submit time
  • WhatsApp number
  • record type such as lead or contact

Synchronization Log tab

This tab records catalog sync activity and helps track:

  • direction
  • status
  • processed counts
  • errors

Product statuses

In the products table, the status is based on image availability and catalog mapping.

Missing Image

The product does not yet have a product image in metadata, so it is not ready for WhatsApp catalog sync.

Ready to Sync

The product has an image but does not yet have a WhatsApp catalog mapping.

Synced

The product already has a WhatsApp catalog ID and an image, so it is linked with WhatsApp catalog.

Prepare a product for sync

Before a Perfex item can be added to WhatsApp catalog, it should have proper metadata.

From the Products table:

  1. Click the edit icon for a product
  2. Open the Edit Product Metadata modal
  3. Review the product name and price
  4. Upload a product image
  5. Save the metadata

When metadata is saved:

  • the product image is stored and it becomes eligible for export to WhatsApp catalog

Important note

If the product already exists in metadata and the Perfex item is updated later, the module automatically marks it as pending sync again so it can be pushed to WhatsApp on the next sync.

Export Perfex products to WhatsApp catalog

Click:

Add to WhatsApp Catelog

This opens the export modal.

Export flow

  1. Select one or more Perfex products
  2. Start export
  3. The module creates or updates products in WhatsApp catalog
  4. On success, it stores the whatsapp_catalog_id mapping in metadata
  5. A result summary is shown

The export result includes:

  • success count
  • failed count
  • skipped count
  • error details for failed items

What gets exported

The module prepares product data using:

  • product name from item description
  • long description if available
  • price
  • base currency
  • retailer ID
  • product image URL

Only products with proper metadata, especially image data, should be exported.

Import WhatsApp catalog products into Perfex

Click:

Import from WhatsApp Catelog

This opens the import modal.

Import flow

  1. Choose the default Perfex item group
  2. Select one or more catalog products from WhatsApp
  3. Start import
  4. The module creates new Perfex items for selected products
  5. It downloads and stores product images when available
  6. It saves WhatsApp catalog mapping into local metadata

Duplicate handling

Products already mapped in metadata are disabled in the selector, so the UI helps prevent duplicate import of already linked items.

Manual sync options

The Sync dropdown provides three manual actions:

  • Perfex to WhatsApp
  • WhatsApp to Perfex
  • Bidirectional

Perfex to WhatsApp

Pushes local pending or mapped products from Perfex into WhatsApp catalog.

WhatsApp to Perfex

Imports products from WhatsApp catalog into Perfex.

Bidirectional

Runs both directions in sequence.

Deleted Meta products cleanup

Before sync runs, the module checks whether some locally mapped catalog IDs were removed from Meta. If so, those local metadata links are deleted.

Automatic catalog synchronization

The module also supports cron-based auto sync.

Go to:

WhatsBot > Settings > Auto Catelog Syncronization

There you can configure:

  • Enable automatic catelog syncronization
  • Synchronization Frequency
    • Daily
    • Weekly
    • Monthly
  • Synchronization Direction
    • Perfex to WhatsApp
    • WhatsApp to Perfex
    • Bidirectional

The settings page also shows:

  • Last Synchronization

When cron runs:

  1. it checks whether auto sync is enabled
  2. it checks the selected frequency
  3. it runs the configured sync direction if due
  4. it updates the last sync timestamp

If cron is not running, automatic catalog sync will not happen.

Synchronization log

The Synchronization Log tab records sync jobs and helps with troubleshooting.

Each log entry may include:

  • sync date/time
  • direction
  • status
  • processed item counts
  • error details

Possible statuses include:

  • Success
  • Partial
  • Failed

This tab is especially useful for reviewing:

  • failed exports
  • failed imports
  • skipped items
  • API-related errors

Orders management

When users interact with your WhatsApp catalog and place an order, order details are stored and shown in the Orders tab.

This helps your team review:

  • who placed the order
  • which catalog ID was involved
  • the incoming message text
  • which WhatsApp number received it
  • whether the record belongs to a lead or contact

This view is useful for follow-up and operational tracking.

Product deletion behavior

After item deletion from perfex If a item has link to WhatsApp catalog metadata, the module can show a confirmation prompt asking whether you also want to remove it from WhatsApp catalog.

This helps keep local records and Meta catalog data aligned.
